Define the complete journey

Provide the collection and final delivery locations, not just a pair of countries. If you already have departure or arrival terminals in mind, include their names. If you do not, describe the required journey so terminal options can be discussed.

State whether you need an assessment of the rail leg only or of connecting collection and delivery as well. Terminal handling and road connections can materially affect the overall plan.

• Origin, destination and any preferred terminals
• Commodity description, packaging and total gross weight
• Package or container dimensions and loading requirements
• Cargo readiness date and any required arrival date

Prepare cargo and handling information

Describe how the goods are packed and whether they can be lifted or transferred using standard handling equipment. Include any restrictions on stacking, securing or exposure during handling.

If a container or other loading unit is involved, provide its type and size if known. A particular unit, service or departure is not confirmed until the cargo and route requirements have been reviewed.

Assess timing and the scope of the quote

Distinguish the date when your goods are ready from the date when they need to reach the customer. Planning may need to account for terminal acceptance, the rail leg, transfers and final delivery.

The route, cargo characteristics, terminal work, connecting transport and required schedule can all influence a quote. Before agreeing the shipment, clarify which handling and transport stages are included and which information is still provisional.
